Terms of Service

1. Introduction

These Terms of Service ("Terms") govern your access to and use of software products and services provided by Stockwise Software ("we", "us", "our"), including:

  • BeautyOS — salon management software available at beautyos.co.uk
  • StockWise IMS — inventory management software launching at stockwiseims.co.uk

By creating an account, beginning a free trial, or otherwise using any of our products, you confirm that you have read, understood, and agree to be bound by these Terms in full.

2. Definitions

  • "Service" — the specific software product (BeautyOS or StockWise IMS) you are accessing
  • "Account" — your registered account and all associated data held within the Service
  • "Subscription" — a paid or trial plan granting access to the Service
  • "User" — any individual who accesses the Service using credentials associated with your Account
  • "Content" — any data, records, or information you or your Users upload, enter, or generate within the Service

3. Eligibility and Accounts

You must be at least 18 years of age and have the legal authority to enter into a binding contract. You are responsible for providing accurate registration information, maintaining the confidentiality of your credentials, and all activity that occurs under your Account.

4. Acceptable Use

You agree not to: use the Service for any unlawful purpose; attempt to reverse engineer, copy, or resell any part of the Service; transmit unsolicited commercial communications; upload unlawful content; attempt to gain unauthorised access to the Service or other users' data; or use automated tools to access the Service without our prior written consent.

5. Subscription and Payment

  • Pricing: Current pricing is displayed on the applicable product website. Prices are in pounds sterling and exclude VAT where applicable.
  • Billing cycle: Monthly or annual, confirmed at the point of subscription.
  • Automatic renewal: Subscriptions renew automatically unless cancelled before the renewal date.
  • Payment processing: All payments are processed securely by Stripe. We do not store your card details.
  • Price changes: We will give at least 30 days' written notice before increasing subscription prices.

6. Free Trials

  • BeautyOS: 14-day free trial — no credit card required
  • StockWise IMS: Free trial period offered at launch — details confirmed on release

Each business is entitled to one free trial per product. We reserve the right to terminate trial access if we reasonably suspect abuse.

7. Cancellation and Refunds

Cancellation: Cancel at any time through the billing portal. Your access continues until the end of the current billing period.

Refunds: We do not offer refunds for partial billing periods already charged. Annual subscriptions are non-refundable, though we will consider exceptional circumstances on a case-by-case basis.

Error charges: Contact the relevant support team within 14 days if you believe you have been charged in error.

8. BeautyOS — SMS Credits

  • Paid plans include 300 SMS texts and 5,000 emails per month, refreshed at the start of each billing period
  • Unused credits do not roll over to the following period
  • Additional SMS top-up credits are available at published prices and applied manually after payment confirmation
  • SMS credits have no monetary value and cannot be refunded or exchanged
  • We reserve the right to suspend SMS sending if we detect misuse or sending of unlawful content

9. Data and Privacy

Your use of our products involves the collection and processing of personal data. Our Privacy Policy sets out what data we collect, how we use it, and your rights under UK GDPR. By creating an account you confirm you have read and accepted our Privacy Policy.

Where you store personal data belonging to third parties within our products, you are the Data Controller for that data and are responsible for ensuring you have a lawful basis to collect and store it.

10. Your Data — Ownership and Portability

You own all Content you upload or create within the Service. We do not claim ownership over your business data. On cancellation or termination, you may request an export of your data before account closure. Exports will be provided within 14 days of request.

11. Intellectual Property

All intellectual property rights in the Service — including software, source code, design, trademarks, product names, and documentation — are owned by or licensed to Stockwise Software. You may not copy, reproduce, modify, or create derivative works of any part of the Service without our prior written consent.

12. Limitation of Liability

The Service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, special, or consequential damages, including loss of revenue, data, or business interruption.

Our total aggregate liability for any and all claims shall not exceed the total subscription fees paid by you in the three calendar months immediately preceding the event giving rise to the claim.

Nothing in these Terms excludes liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

13. Service Availability

We aim to maintain high availability but do not warrant uninterrupted or error-free access. We are not responsible for unavailability caused by factors outside our reasonable control, including failures of Stripe, Brevo, or Render.com, or force majeure events.

14. Suspension and Termination

We reserve the right to suspend or terminate your account without prior notice if you breach these Terms materially, fail to pay subscription fees within 7 days of notification, or if we reasonably believe your account is being used for unlawful purposes. In the event of termination for breach, no refund will be provided.

15. Changes to These Terms

We will notify you of material changes by email at least 14 days before they take effect. Your continued use after the effective date constitutes acceptance. If you do not agree to updated Terms, you may cancel your subscription before the changes take effect.

16. Governing Law

These Terms are governed by and construed in accordance with the laws of Scotland. Any disputes shall be subject to the exclusive jurisdiction of the Scottish courts, without prejudice to your right as a consumer to bring proceedings in the courts of the country where you are habitually resident.
